In the July issue of Workflow magazine, Amy Weiss offers up the best description of “workflow” that I have seen. She describes this emerging business practice as “a concept, one that encompasses any number of topics that include enterprise content management, business process optimization, mobility – all of the tools, software and devices that move information throughout a company.” “Workflow,” content management, business processes, optimization, mobility, tools, information dissemination – all components and tools for moving business forward, and all components and tools for any modern sales leader.

Process optimization has become much more than an industry buzzword; it is a real customer problem. You see, long ago, when the MpS ecosystem was young, wild and free, I had this client who engaged with us for a 36-month MpS project. The client realized how equipment-heavy it had become and was convinced we could reduce the overall number of devices from 1,100.

Mobile devices and the use of cloud collaboration services are growing rapidly. This is true when it comes to sharing information among business partners, customers and even internal users. It’s very easy to drag files on a PC into a folder and access them from a smartphone, tablet or another computer. It’s also easy to sync information among multiple devices quickly. I love that I can save something on my iPad and have it available almost immediately on my laptop or a partner’s device.

In today’s converging world, we are all increasingly using technology in our workflow. Gartner Inc. recently projected that by 2020, 30 billion devices will be online 100 percent of the time and another 200 billion will connect intermittently. This increased use of technology allows users to easily access information anywhere electronically. Dealers have the opportunity to provide this accessibility to their customers. Many of us have looked toward document management solutions (DMS) to resolve our technology needs and increase our efficiency in the workplace.

Although the word itself was not often used, one of the main focal points of Hewlett-Packard’s Discover conference in Las Vegas last week (June 10-13) was workflow. And HP considers itself well positioned for the transition most offices are beginning to make (if not already entrenched in) from paper to electronic document management.

One of the first articles I ever wrote was about implementing a managed print services program and the risks of ignoring corporate culture in the process. Back then, we were primarily concerned about the impact that reducing devices would have on the way people felt about their jobs. MpS engagements were new; they changed the way toner was ordered and revealed how the number and location of printers could be a shock to the system.
